Moving Dates
8 Weeks to go....
Dear Colleagues,
In just eight weeks, the first of two moves to our new home in the Studebaker building on 131st Street will take place. As many of you know, our colleagues in CUIT have been in Studebaker since June, and HR is moving in this weekend.
From now until our move dates, I will be sending out a weekly countdown communication with information about what you should be thinking about and doing that week in preparation for the move.
Move Dates
Friday, November 9th: Everyone on the 11th Floor of 1700 Broadway – Procurement Services (Purchasing and Accounts Payable) and Finance HR / Training – as well as CIE-Finance from Interchurch
Friday, November 16th: Everyone on the 10th Floor of 1700 Broadway – Treasury, Controller (Restricted Funds & Financial Compliance, Tax, Financial Reporting & Operations / UAH Accounting, Research Policy & Indirect Cost, Finance Technology)
Move Overview
Studebaker has been beautifully designed and outfitted for our needs with brand new furniture (including great ergonomic chairs – the feedback from the folks in CUIT who have already moved and are using these chairs has been very positive). This means that the only things we will be moving from our current locations are files, paperwork and computers – no chairs, desks, tables, filing cabinets, refrigerators – all of these are new for us in Studebaker. Furniture that remains in 1700 Broadway and Interchurch will be managed by the University’s Facilities team, and will be used elsewhere in the University.
Move Logistics
You should have all your material packed in boxes, labeled and ready to go by 5:00 pm on the Thursday before the move (so if you’re due to move on the 9th, everything should be packed by end of day on the 8th). The movers will come in on the Friday and will be moving everything into Studebaker over the weekend. Please note that if you have a University laptop, you should take this home with you over the weekend and not leave for the movers. When you come to Studebaker Monday morning, all your material will be in your office (desk items still in boxes). Your computer will have been hooked up over the weekend by CUIT, and your new VoIP phone will be waiting for you with instructions on how to use. No-one should be in their current offices or in Studebaker over the weekend of your move, as the movers, CUIT etc. will be busy setting things up ready for your arrival Monday morning.
Move Materials
All materials that you will need for the move i.e. boxes and labels will be provided for you in plenty of time prior to your move date. More information on the timing of the delivery of these materials will be shared in future communications.
Phone and Fax Numbers
Please note that if you currently have an 851-XXXX or an 854-XXXX phone or fax number, these numbers will not change and they will move with you to Studebaker.
Studebaker Visits Prior to Move
Everyone moving to Studebaker will have an opportunity to visit our new home and walk through the space and see where their cubicle / office is before the move date. These walkthroughs are currently being scheduled, so you will be hearing more about your specific walkthrough date and time from your manager over the next few weeks.
Move Planning:
Week of September 17th This is the time to start thinking about the contents of your office / cubicle / files and what really needs to move with you vs. what can be put into offsite storage, i.e. Iron Mountain , or what can be destroyed. Please work with your manager to determine what should and should not be moving in terms of paperwork and files. This is also the right time to start thinking about business contacts who should receive a change of address notification (the official mailing address and mail codes will be shared in a subsequent communication).
